This Privacy Policy explains how The Fleet Method (“we”, “us”, “our”) collects, uses and protects personal information when you visit thefleetmethod.com (the “Website”), contact us, schedule a consultation, or use our client portal.

Information we collect

  • Enquiry form: your name, company, business email address, phone number (optional), fleet size and type, location, services of interest and the details you choose to share about your needs.
  • Consultation scheduling: when you book through our scheduling provider (Calendly), the details you enter are collected by that provider and shared with us.
  • Client portal: for clients, your name, email address, company, sign-in activity, the messages and documents you send us, your approval of proposals (including your typed name, the time and the network address used), and your invoice and payment history. Card and bank details are entered on our payment provider’s secure pages and are never stored on this Website.
  • Analytics (only with your consent): if you accept analytics cookies, Google Analytics collects information about how you use the Website, such as pages visited, approximate location, device and browser type.
  • Technical information: our hosting provider automatically records limited technical data, such as IP addresses and browser information, for security and to keep the Website running. The Website’s typefaces are served by Google Fonts, which receives your browser’s request for the font files. Where a page plays a background video hosted by YouTube or Vimeo, that provider receives your browser’s request for it.

How we use information

  • To respond to your enquiry and arrange consultations
  • To prepare proposals, agreements and invoices and to deliver consulting engagements
  • To operate the client portal securely, including detecting and preventing unauthorized access
  • To understand and improve how the Website is used (with consent)
  • To meet legal, accounting and regulatory obligations

We do not sell your personal information, and we do not use it for third-party advertising.

Cookies and analytics

The Website uses a small number of essential cookies that it needs to work, including one that remembers your cookie choice and, for clients, one that keeps you signed in to the portal. Analytics cookies are only set if you choose “Accept analytics” in the cookie banner. You can change your choice at any time using the “Cookie preferences” link in the footer. Our scheduling page loads Calendly, which may set its own cookies to provide the booking service.

Service providers

We share information only with providers that help us run the business and the Website, for example our website host, email provider (Microsoft 365), scheduling provider (Calendly), analytics provider (Google Analytics), font provider (Google Fonts) and payment provider (Stripe, or WooCommerce’s payment gateways where enabled). These providers process information under their own terms and privacy policies. We may also disclose information where required by law.

Payments

Payment card and bank details are never collected or stored on this Website. Client payments are handled by our payment provider on its hosted pages; we receive confirmation of payment, the amount and a reference, not your card or account numbers.

Retention

We keep enquiry and consultation information for as long as needed to respond to you and manage any resulting relationship. Client records, messages, approvals, invoices and payment confirmations are kept for the duration of the engagement and afterwards as required for legal and accounting purposes. [Retention periods to be confirmed.]

Your choices and rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to opt out of certain processing. To make a request, contact us using the details below. We will respond in line with applicable law.

Security

The Website is served over a secure HTTPS connection. The client portal requires an invitation and a password, limits repeated sign-in attempts, and stores shared documents outside the public area of the Website. We take reasonable measures to protect the information we hold, but no method of transmission or storage is completely secure.

Children

The Website is intended for businesses and is not directed at children under 13. We do not knowingly collect their personal information.
